1. Introduction

Doc AI Agent  (“the Extension”) is a Google Chrome extension developed by SurensInffotek that extracts structured data from financial documents using OCR and AI. This Privacy Policy describes what data we collect, how we use it, how we store it, how we share it, and your rights regarding your data.

2. Data We Collect

We collect the following categories of personal and sensitive user data:
a) Account Data
– Email address
– Display name (provided at signup)
– Authentication tokens (Firebase ID token and refresh token)
b) Document Data
– File content (PDF, DOCX, or image) temporarily transmitted for OCR and AI extraction
– Extracted text and structured fields (invoice numbers, amounts, tax details, supplier/buyer names, dates, GST numbers, line items)
c) Technical and Usage Data
– Anonymous error logs containing: error type, document type, file name, timestamp — no document content
– Anonymous aggregate usage counts (number of uploads per document type) — no personal identifiers

3. How We Use Your Data

We use collected data solely for the following purposes:
The extension may collect and process limited user data only to provide its document processing features. This may include the user’s email address for account creation, login, and session management; authentication tokens for maintaining a secure login session; uploaded document file content, which is sent to Azure only for OCR text extraction and is not retained after processing; extracted document text, which is sent to Azure OpenAI only for AI-based field extraction and is not retained after processing; and structured extracted data, which is stored locally on the user’s device for display, search, and export. The extension may also collect error logs to diagnose and fix technical issues, and usage counts to improve extension performance and features.

We do not use user data for advertising, profiling, or any purpose beyond providing the extension’s document processing features and statistics.

4. How We Store Your Data

a) Local Storage (Your Device Only)

All extracted document data is stored exclusively in `chrome.storage.local` — a sandboxed storage accessible only to this extension, not to websites or other extensions. Documents are retained for 3 days after archiving, then automatically deleted. No extracted financial data is uploaded to our servers.

b) Firebase (Cloud — Account Data Only)

– Your email address and account metadata are stored in Google Firebase Authentication
– Anonymous error logs and aggregate usage statistics are stored in Firebase Realtime Database
– No document content, extracted financial data, or file data is stored in Firebase

c) Data Retention

– Account data: Retained while your account is active
– Local document data: Auto-deleted after 3 days from archiving, or immediately upon logout/workspace clear
– Error logs: Retained for operational diagnostic purposes, contain no document content.

5. How We Share Your Data

We share data with the following third parties solely to provide the extension’s functionality. We do not sell, rent, or trade your data.
a) Microsoft Azure — Document Intelligence (OCR)
– Data shared: Your uploaded document file (bytes) for text extraction
– Purpose: Converting documents to machine-readable text
– Retention: Not retained by Azure after the API call completes by default

b) Microsoft Azure — OpenAI Service (AI Extraction)
– Data shared: OCR-extracted text from your documents
– Purpose: Identifying and structuring data fields (amounts, names, dates, tax entries)
– Retention: Not used for model training; not retained by Azure after the API call by default

c) Google Firebase (Google LLC)
– Data shared: Email address (authentication); anonymous error logs and usage counts (no document content)
– Purpose: User authentication, configuration delivery, error diagnostics

We do not share your data with any other third party.

6. Data Security

– All data transmitted to Azure and Firebase is encrypted in transit using HTTPS/TLS
– API keys are stored in Firebase Realtime Database (not hardcoded in the extension) and are only accessible to authenticated users
– Authentication tokens are stored in `chrome.storage.local`, sandboxed to this extension only
– No financial document content is stored on any server operated by SurensInffotek

7. User control

Users remain in control of their data while using Doc AI Agent.

Users can view extracted document data directly inside the extension. Users can export their extracted data at any time using the available CSV or Excel export options. Users can delete locally stored document data using the clear/delete options provided inside the extension.

Users can also remove locally stored extension data by clearing Chrome extension storage or uninstalling the extension from Chrome. When the extension is uninstalled, locally stored extension data is removed from the user’s browser profile.

Users may stop using the extension at any time by signing out, clearing local data, or uninstalling the extension. Users may also request deletion of account-related data stored for authentication by contacting SurensInffotek at contact@surensinffotek.com.

Doc AI Agent does not prevent users from accessing, exporting, or deleting locally stored extracted document data. The extension does not sell user data, does not use user data for advertising, and does not use user data for profiling.

8. Changes to This Privacy Policy

We may update this Privacy Policy periodically. The “Last Updated” date at the top will reflect any changes. Continued use of the extension after changes constitutes acceptance of the updated policy.
